Filling the NDA online form is the very first formal step of your defence career. A small slip — wrong name spelling, mismatched DOB, or a blurred photograph — can lead to rejection. This article is written in clear intermediate English with an Indian tone: practical, direct and neat. Follow it precisely, fill carefully, and save the confirmation PDF right away.
Note: Keep your Class X (matriculation) certificate in front of you. UPSC considers matriculation as the final authority for name and date of birth.
Quick checklist (have these ready before you start)
- Class X certificate (for exact name & DOB)
- Class XII certificate or school letter (if still appearing)
- Aadhaar / Passport / Voter ID (photo ID number)
- Recent passport photo (JPG) and signature scanned on white paper (JPG)
- Personal email address and active phone number for OTPs
- Debit/Credit card, netbanking or SBI challan for fee (₹100 if applicable)
- Scanner or smartphone camera and a PDF writer/printer

Part I and Part II — short explanation
Part I (OTR / registration) — Enter name, DOB, parents’ names, email and mobile. You receive a Registration ID.
Part II (application completion) — Login with Registration ID. Fill education, select service preferences (Army / Navy / Air Force), upload photo & signature, pay fee (if applicable), and finally submit.
Until you get the confirmation PDF, the form is not complete.
How to fill the important fields (copy exactly from your certificates)
Use the exact wording and spelling from your original documents. Below is a sample table you can use as a mock form to practise before you open the portal.
| Field | Sample entry (replace with your own) |
|---|---|
| Name (as in Class X) | Amit Kumar Sharma |
| Father’s Name | Rajesh Sharma |
| Mother’s Name | Sunita Sharma |
| Date of Birth | 21/03/2005 |
| Category | General / OBC / SC / ST |
| Nationality | Indian |
| Photo ID & Number | Aadhaar — 123412341234 |
| Educational Status | 12th Pass (or Appearing in 12th) |
| Stream (AF / Navy) | PCM (only if you meet subject requirement) |
| Exam centre | Delhi / Mumbai / Pune (choose nearest) |
Photo and signature — keep it clean
Tip: Use a fresh passport photograph (taken within last 6 months). Plain white or light background is best.
- Photo: Crop the face area tightly, avoid heavy background, no sunglasses or cap, neutral expression. Save as JPG within UPSC size limits.
- Signature: Sign with black ink on a plain white sheet. Scan or photograph the signature flat, no shadows, crop tightly and save as JPG.
- File sizes & formats: Follow the UPSC portal limits (usually 20–300 KB for each file). Wrong format or oversize leads to rejection.
Payment — do not assume success
If you must pay (General/OBC), fee is ₹100. After payment, wait for the transaction confirmation and download the payment receipt. If the transaction fails, check your bank statement and the UPSC portal — do not hastily submit another form.
Most common mistakes and how to avoid them
- Name mismatch with Class X: Always copy the name exactly as printed in Class X certificate. Small spelling differences can cause problems.
- Wrong DOB format or year: UPSC accepts matriculation certificate for DOB; other proofs are not accepted.
- Swapped uploads: Uploading the photo into signature field (or vice versa) is common — verify each field before final submit.
- Using someone else’s email/phone: Use your personal email and phone that you will monitor for years to come.
- Multiple applications: UPSC considers the last submitted form; avoid duplicate submissions unless absolutely necessary.
- Late submission: Apply early to avoid server overload and exam centre fill-up.
- Not saving confirmation: Always download the confirmation PDF and print one copy.
If you made an error — immediate steps
- Minor typos: Check whether UPSC opens a correction window and update immediately.
- Major mismatches (name/DOB): Contact UPSC helpdesk, prepare documentary proof and follow their instructions.
- Wrong contact details: Try to recover access to that phone/email. If not possible, contact helpdesk with supporting proofs.

Short FAQ
Q: Can I correct my NDA form after submission?
A: It depends. UPSC sometimes opens a correction window. Contact their helpdesk immediately and keep documentary proof.
Q: Will a small typo lead to rejection?
A: Mismatches in name, DOB or ID number are serious. Minor spelling variants sometimes pass, but do not take the risk — match documents exactly.
Q: I uploaded a blurred photo — what do I do?
A: If UPSC notifies you, follow their instructions. If not, be ready to present clear originals during later stages.
